Team Administrator (12-Month Fixed Term Contract)

Role Overview:

We are looking for a proactive and organised Administrator to provide high-quality administrative support in a fast-paced environment. You will support secretaries, partners, and associates across the London office, ensuring smooth day-to-day operations.

Key Responsibilities:
  • Process and submit expense claims accurately, following client or office charge codes, and follow up as necessary.

  • Ad hoc photocopying, printing, scanning, and arranging couriers; liaising with the Facilities team as needed.

  • Update lawyer contacts and activities in the Business Development database.

  • Assist with diary management, including scheduling meetings and calls (virtually and in person) across multiple time zones, resolving conflicts, and booking venues/meeting rooms.

  • Plan and coordinate travel arrangements, including local and international transport, accommodation, visas, and preparing detailed itineraries.

  • Provide document support, including amendments, formatting, document comparisons, and proofreading.

  • Support client and matter setup, liaising with compliance for conflict checks, and preparing draft engagement letters.

  • Maintain filing systems (electronic and hard copy) and ensure records are up to date.

  • Follow established policies and procedures regarding archiving, time entry, and audit letters.

  • Assist secretaries and the wider office with ad hoc tasks as required.

Skills & Experience:
  • Educated to A-Level standard (or equivalent).

  • Strong Microsoft Office skills (Word, PowerPoint, Excel).

  • Comfortable with new systems and technology, with a willingness to learn quickly.

  • Excellent communication, organisational, and time management skills.

  • Previous administrative experience is essential, ideally within a law firm or similar professional environment.
