We are partnered with a dynamic and well-established law firm, recognised for their expertise across various practice areas including Asset Management, M&A, and Dispute Resolution. They serve a wide range of clients, from asset managers and financial institutions to multinational businesses engaged in complex UK and international matters.

The Role:

We are looking for a proactive and detail-oriented Team Assistant to provide essential administrative and file management support across our legal teams. In this key role, you’ll ensure smooth operations, assist with client interactions, and contribute to the efficiency of the Practice Support unit.

As a Team Assistant, you will report to the Team Leader and work closely with the Practice Assistants, Executive Assistants, and Lawyers to anticipate team needs and help manage a wide range of administrative tasks.

Key Responsibilities:

  • Assist the Team Leader and legal teams in managing priorities, ensuring smooth operations and effective workload management.
  • Provide assistance with scheduling, room and taxi bookings, and diary updates, ensuring accuracy and clarity.
  • Help with updating CRM systems and supporting marketing tasks.
  • Create, structure, and format digital documents accurately, ensuring that all data is correct.
  • Open, close, and maintain electronic files, ensuring they are correctly named and filed. Handle file archiving procedures.
  • Assist with internal and external event planning, including organising registrations, travel arrangements, and printing and sending materials.
  • Perform tasks such as printing, copying, scanning, and maintaining expense records.
  • Support finance-related tasks such as expense processing and billing support.
  • Help streamline workflows to improve productivity and meet deadlines.

Additional Responsibilities:

  • Participate in relevant training to stay up-to-date with firmwide procedures.
  • Show continuous commitment to personal development and process improvement.

Personal Specification:

  • Experience in office-based administration, ideally in a legal or professional services environment.
  • Strong communication skills with the ability to liaise effectively with both internal teams and clients.
  • High attention to detail and accuracy in all tasks and communications.
  • Ability to work independently and take a hands-on, practical approach.
  • Proactive and adaptable, with the ability to manage change effectively.
  • Intermediate knowledge of Microsoft Office and an aptitude for technology.
  • Experience with document management or case management systems is beneficial.
