The firm is currently seeking an experienced, self-motivated individual with a strong work ethic to join their team as an Executive Assistant to the managing partner. This position is based at the firm’s New York City, NY 10017 location.

This boutique New York City income tax firm specializes in representing high-net-worth clients for income tax planning and preparation. Established 38 years ago, the firm generates approximately $2,000,000 in annual revenue and employs 11 professionals at a single location.

Job Summary:

The Executive Assistant provides high-level administrative support in a fast-paced environment. Responsibilities include handling information requests, managing the executive’s email, preparing correspondence, greeting clients, arranging conference calls, and scheduling meetings via in-person or Zoom. The role may also involve training and supervising junior clerical staff.

Job Duties and Responsibilities:

- Prepare memos, letters, and other documents using various software tools

- Answer all incoming and outgoing calls, maintain logs, and resolve client inquiries

- Serve as gatekeeper, schedule appointments, and prepare the partner for meetings, including managing personal calendar

- Manage the partner’s email account, respond when appropriate, and flag outstanding items

- Assist with organizing tax files, addressing tax notices, and supporting tax-related projects

- Track projects and deadlines, ensuring timely completion

- Greet clients and build relationships to ensure their needs are met

- Coordinate travel arrangements

- Manage the partner’s investment portfolio, including completing subscriptions and filing claims in class action lawsuits

- Perform other duties as assigned by the managing partner

Job Requirements:

Education and Experience:

- Bachelor’s Degree

- Minimum of 3+ years of relevant experience supporting C-Level executives

- Tax or accounting office experience is a plus but not required


Skills and Abilities:

- Excellent verbal and written communication skills

- Strong organizational and attention-to-detail skills

- Ability to multi-task and work independently

- Problem-solving and critical-thinking capabilities

- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word)

- Knowledge of QuickBooks is helpful
