Working Hours: Monday to Friday, 9.30am – 5.30pm
Overview
A prestigious and high-performing Disputes team is looking for an experienced and proactive Executive Assistant to join on a 12-month fixed term contract. Working within a collaborative support team, this role offers the opportunity to support senior stakeholders and deliver exceptional EA services in a dynamic and fast-paced environment.
Key Responsibilities
Manage complex and ever-changing diaries and inboxes with professionalism and foresight
Act as gatekeeper and point of contact for fee earners, clients, and internal teams
Coordinate internal and external meetings, including travel, itineraries, room bookings, catering, and technology requirements
Arrange UK and international travel, including visas and travel documentation
Prepare and amend high-quality documents such as letters, reports, presentations, and spreadsheets
Support financial processes including time recording, billing, and liaising with finance teams
Handle all file opening and closing, ensuring compliance with internal procedures and regulatory requirements
Maintain up-to-date contact and client information on internal systems
Provide general administrative support including printing, scanning, bundling, and indexing of legal documents
Assist with events, hospitality, and business development activities
Be a key contributor to new system/process implementation, offering support and championing change
Build strong relationships across business services teams to ensure seamless support delivery
Ideal Candidate
Skills and Experience:
Proven experience in an Executive Assistant or senior PA role, ideally within professional or legal services
Excellent proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Strong typing and audio transcription skills
High attention to detail and a meticulous approach to document quality and accuracy
Confident handling financial processes, including billing and time recording
Commercially aware and solutions-focused
Experience managing multiple competing priorities and deadlines in a high-pressure environment
