We are seeking a proactive and professional Secretary to provide exceptional support to fee-earners in a fast-paced, high-performing finance department within a global law firm. This role offers the chance to work closely with Partners and Associates, ensuring their administrative needs are fully met so they can focus on delivering outstanding client service. Key Responsibilities

  • Diary & Contact Management: Manage fee-earners’ diaries proactively, scheduling appointments, client meetings, and internal discussions. Arrange travel, accommodation, taxis, and meeting logistics. Monitor emails and correspondence, prioritising and responding where appropriate.

  • Administrative Support: Handle day-to-day administrative tasks, document management, matter opening, expense claims, and billing processes. Support financial and reporting systems, including WIP reporting and time recording.

  • Document & Presentation Preparation: Draft letters and correspondence, proof-read materials, prepare agendas, presentations, and meeting papers. Support pitch and client training materials, ensuring consistency with house style and branding.

  • CRM & Data Management: Maintain client and contact records, update CVs, coordinate events, and assist with reporting requirements.

What We’re Looking For

  • Previous experience as a secretary in a professional services environment.

  • Strong working knowledge of Microsoft Office applications.

  • Familiarity with document management systems, CRM software, OCR/PDF tools, and financial recording applications.

  • Excellent organisational skills, attention to detail, and discretion handling confidential information.

  • Strong communication and interpersonal skills, with the ability to build relationships across all levels.

  • Ability to prioritise work calmly in a fast-paced, pressurised environment.

  • Flexibility with working hours when required.

Additional Information

  • This is a hybrid working role with 3 days in the office and 2 days from home. Candidates will be expected to work full-time in the office until they pass their probation period.

  • Secretarial experience is preferred, ideally with experience supporting a Partner and dealing with billing.
