Legal Secretary
An exciting opportunity has arisen for an experienced Legal PA to join a leading US law firm in central London. This is a brand-new role supporting Partners who are also new to the firm, as they establish their Structured Finance practice in the London office.
As the sole PA for the team, you’ll have the chance to take ownership, build ways of working from the ground up, and play a key role in helping this group thrive. It’s a unique chance to step into a high-visibility role and really make it your own.
The role
You’ll provide high-level PA and administrative support, including:
Managing busy diaries and scheduling meetings (in-person and virtual).
Coordinating international travel and preparing detailed itineraries.
Producing and amending legal documents, ensuring accuracy and consistency.
Opening new matters, preparing engagement letters, and maintaining e-filing systems.
Supporting billing processes, including prebills, narratives and final invoices.
Monitoring inboxes, ensuring client correspondence is actioned promptly.
Time recording and expense management.
Providing day-to-day admin support such as printing, scanning and liaising with Facilities.
Collaborating with the wider PA/administrative team to deliver a seamless service across the office.
About you
We’re looking for someone with:
At least four years’ experience as a Legal PA or Legal Secretary, ideally in a City or US firm.
Excellent organisational skills and confidence managing competing priorities.
Advanced Microsoft Office skills, plus experience using document management and time recording systems.
A proactive, “can do” approach, with the ability to work independently.
Strong communication skills and a professional, client-focused mindset.
The ability to handle confidential information with discretion and stay calm under pressure.
This is a rare opportunity to join a US law firm at an exciting stage of growth in London. You’ll be working closely with newly arrived Partners, with the autonomy to shape the PA function and add real value from the outset.
