Personal Assistant & Operations Coordinator
📍 London | 4 days in office

We’re looking for a confident, organised and proactive Personal Assistant & Operations Coordinator to support the Global Head of Facilities & Logistics and Facilities within a highly regarded international law firm.

This is a fast-paced, varied role that would suit someone who thrives on organisation, enjoys problem-solving, and takes pride in delivering exceptional support. You’ll be a key link between teams across global offices, managing complex schedules, coordinating projects, and ensuring the smooth running of operations.

What you’ll be doing:

  • Managing complex diaries and coordinating meetings across time zones

  • Organising international travel and supporting global conferences

  • Processing invoices and expenses, tracking large-scale project spend

  • Preparing PowerPoint decks, Excel reports and polished client documents

  • Coordinating insurance renewals, company car admin, and travel logistics

  • Keeping facilities systems, intranet pages and documentation up to date

What we’re looking for:

  • Strong PA/administrative background, ideally within legal or professional services

  • Excellent communication skills and attention to detail

  • Advanced Microsoft Office skills (Word, PowerPoint, Excel)

  • Confident, self-motivated and calm under pressure

  • A genuine team player who enjoys variety and takes initiative

9:30am–5:30pm (with flexibility)
4 days in office
