Personal Assistant & Operations Coordinator

We’re looking for a confident, organised and proactive Personal Assistant & Operations Coordinator to support the Global Head of Facilities & Logistics and Facilities within a highly regarded international law firm.
This is a fast-paced, varied role that would suit someone who thrives on organisation, enjoys problem-solving, and takes pride in delivering exceptional support. You’ll be a key link between teams across global offices, managing complex schedules, coordinating projects, and ensuring the smooth running of operations.
What you’ll be doing:
Managing complex diaries and coordinating meetings across time zones
Organising international travel and supporting global conferences
Processing invoices and expenses, tracking large-scale project spend
Preparing PowerPoint decks, Excel reports and polished client documents
Coordinating insurance renewals, company car admin, and travel logistics
Keeping facilities systems, intranet pages and documentation up to date
What we’re looking for:
Strong PA/administrative background, ideally within legal or professional services
Excellent communication skills and attention to detail
Advanced Microsoft Office skills (Word, PowerPoint, Excel)
Confident, self-motivated and calm under pressure
A genuine team player who enjoys variety and takes initiative

9:30am–5:30pm (with flexibility)
4 days in office
