Private Client Personal Assistant
London – Hybrid Working
We are seeking an experienced and proactive Personal Assistant to support a team of Partners and Associates within a busy and high-performing Private Client department. The Role
As a key member of the support team, you will provide high-level PA, organisational and administrative assistance, ensuring the smooth running of day-to-day operations. You’ll work closely with fee earners, taking initiative to improve processes, enhance client service, and maintain exceptional standards.
Key Responsibilities:
Diary & Inbox Management
Full ownership of complex diary management for Partners and Associates
Proactively schedule internal/external meetings and resolve conflicts
Monitor inboxes, prioritise emails, and draft responses where needed
Client Relationship Support
Act as an alternative point of contact for clients
Manage communications and coordinate follow-ups
Build strong, professional client relationships
Business Development Coordination
Assist with preparation for client pitches, events and networking
Prepare briefing documents and research prospective clients
Matter Opening & Compliance
Oversee client/matter opening processes
Manage conflict checks, KYC/AML, and liaise with compliance teams
Meetings & Organisation
Prepare agendas, meeting packs and accurate minutes
Track actions and ensure timely follow-up
Travel & Events
Arrange travel and accommodation (including international), working with external travel support
Coordinate internal and client events
Billing & Financial Administration
Support monthly billing cycles, draft/edit invoices and monitor WIP
Liaise with finance to resolve queries
Document & File Management
Produce, format, and proofread documents to a high standard
Maintain electronic and hard copy filing systems
Team Collaboration & Process Improvement
Work closely with other PAs to ensure seamless support
Identify opportunities to streamline processes and share best practice
Assist with onboarding new team members
About You
The ideal candidate will have:
Strong PA experience, within a Private Client practice
Outstanding organisational skills and attention to detail
Excellent communication skills and a polished, professional approach
Strong IT skills and confidence handling documents and dictation
The ability to build trust with clients and internal stakeholders
A proactive mindset, with confidence taking ownership and anticipating needs
